Required Qualifications: Associate’s degree or minimum of 2 years experience in an office setting with varied duties.  The ideal candidate is organized, detail-oriented, and enjoys helping students navigate their educational journey.  

Preferred Qualifications:  Experience in a school setting and is comfortable performing data analysis in excel.  

FLSA: 12 month, 40 hour per week, non-exempt position

Desired Start Date:  April 2026 (date to be determined)

Location: MSA Secondary Campus

Benefits: MSA offers a generous benefits package and 20 days of paid time off to year round office support staff. 

Hourly Pay Range: $20 to $22 per hour

About the Role:

Math and Science Academy is growing, and we’re excited to expand our Student Support Team! We are seeking a Guidance Assistant to provide essential administrative and program support to our Guidance Counselors. This role plays a vital part in coordinating PSEO (Post-Secondary Enrollment Options) registration and data management, while serving as a consistent point of contact for students and families.

The ideal candidate is organized, detail-oriented, and committed to delivering responsive, student-centered support in a fast-paced school environment.

 

PSEO Coordinator (75%)

  • Assist students/families to the PSEO general information

  • PSEO student registration

    • Assist in the tracking of PSEO student registration

      • March through September for Semester 1

      • October - January for Semester 2 of current school year

      • Keep track of total numbers for grades 10-12

        • Inform High School Counselor and MARSS Coordinator

  • Gather the PSEO student schedules each semester

    • Contact all PSEO colleges for schedules and enrollment information for MSA students

    • Create a form or a way for students upload their schedule

      • Follow up with students who submitted in an unreadable format

    • Follow up with students who do not submit their schedule

    • Keep track of the total number of Century credits for each student by semester

      • Relay to the Director and MARSS Coordinator

  • Add the PSEO classes to the student’s schedule

    • S1 courses to be added by the first week of September (earlier if we have their schedules); S2 by the end of January

    • Ensure all junior and senior students (PSEO and full-time MSA students) have full schedules

      • For PSEO students - make sure they have one open period

      • Communicate to the High School Counselor the students who are missing a schedule

    • Provide a list of PSEO students and where they are registered to the MARSS Coordinator

    • Work with the high school counselor on PSEO courses and graduation requirements equivalencies

  • Manage the PSEO student schedules for PSEO classes and MSA classes

    • Upon request drop or add MSA classes to a PSEO student’s schedule

      • Ensure they are not dropping a graduation requirement

        • Contact the High School Counselor, when necessary

  • Assist with transportation and PSEO students

    • Before the start of the school year remove transportation/routes from Infinite Campus for students not needing the route

      • Update State reporting fields

 

MSA Guidance Email (5%)

Manage the MSA guidance email 

  • Respond to emails

  • Manage the labels/folders for tracking PSEO information and transcript requests

 

Other Duties (5%)

Academic Plan (Graduation Tracking)

  • Work with the High School Counselor

Middle school courses taken in high school

  • Ensure that the high school level courses taken in middle school are added to the student’s transcript

  • Work with the Enrollment Coordinator to keep track of new students starting in grades 10-12

New high school students (grades 10-12)

  • Ensure there are high school transcripts from the previous school.

  • Work with the HIgh School Counselor to ensure schedules are created with the correct courses

 

Student records (grades 9-12)

  • Request student records for all new students in grades 9-12.

  • Post new student records to the SIS.

 

Add all grades:

  • PSEO, UMTYMP (University of Minnesota Talented Youth Mathematics Program) , and NSO (Northstar Online)

Provide transcripts upon request when High School Counselor is not available

 

Testing (15%)

Assist in the coordination of testing (5-10%)

  • Advanced Placement (AP)

  • ACT

  • PSAT

  • MCA

  • Summer placement testing

c. Treats all students in an equitable manner.

 

Physical Job Requirements:

Physical requirements associated with the position can be best summarized as follows:

  • This is a primarily stationary position however the employee is required to sit, stand, walk, climb, balance, stoop, kneel, crouch or crawl for periods of time.

  • May regularly lift and/or move up to 30 lbs. at a time.

  • While performing the duties of this job, the employee is regularly required to: sit; use hands to finger, handle, or feel; reach with hands and arms; talk or hear.
